# Cash Reports & Safe Management

Monitor your store's cash flow, track safe inventory levels, and configure denomination alert thresholds -- all from BuyerKiosk's Cash Management module. This guide covers the three main cash management pages: the Cash Activity Report, Current Safe Alerts, and Safe Configuration.

## Overview

The Cash Management module gives store managers visibility into every cash transaction that flows through the registers and safe. It connects to your POS system to track register opens, closes, safe counts, and cash transfers automatically.

## Cash Activity Report

The Cash Activity Report is your central view for all cash movement in and out of your store.

### Date Range Selection

1. Click the `Pick Date` button in the upper right corner
2. Choose a preset range or select custom dates:
   - **Today** / **Yesterday**
   - **Last 7 Days** / **Last 30 Days**
   - **This Month** / **Last Month**
3. The report reloads automatically with the selected range

> **Tip:** The report defaults to the last 30 days when you first open it.

### Summary Cards

Four summary cards appear at the top of the report:

| Card | What It Shows |
|------|---------------|
| **Total Cash In** | All cash received (register opens, safe-to-register transfers) |
| **Total Cash Out** | All cash paid out (register closes, register-to-safe transfers) |
| **Net Cash Flow** | Cash In minus Cash Out for the period |
| **Total Transactions** | Count of all cash activity events |

### Transaction Table

The table below the summary cards lists every individual cash event. You can sort, search, and filter using built-in controls.

**Columns:**

| Column | Description |
|--------|-------------|
| **Date/Time** | When the transaction occurred (sorted newest first by default) |
| **User** | Who performed the transaction |
| **Type** | Transaction type badge (color-coded) |
| **Register** | Which register was involved |
| **Total** | Dollar amount of the transaction |
| **Details** | Click `View` to see the denomination breakdown |

**Transaction Types:**

| Type | Color | Meaning |
|------|-------|---------|
| `Open` | Green | Register drawer opened/counted |
| `Close` | Red | Register drawer closed/counted |
| `Safe` | Blue | Safe count/balance |
| `S2R` | Light Blue | Safe to Register transfer |
| `R2S` | Yellow | Register to Safe transfer |
| `S2B` | Light Blue | Safe to Bank transfer |
| `B2S` | Yellow | Bank to Safe transfer |

**Filtering:** Use the dropdown filters on the Type and Register columns to narrow results. For example, select "Close" to see only register close counts.

**Export Options:** Use the buttons above the table to `Copy`, export to `Excel`, `PDF`, or `Print` the current data.

### Denomination Breakdown Modal

Click the `View` button on any transaction row to open a detailed breakdown showing:

- **Transaction Info**: Date/time, user, type, and register
- **Transaction Totals**: The dollar total for the event
- **Denomination Breakdown**: A table listing each denomination (pennies through $100 bills) with:
  - Loose count
  - Rolls/Bundles count
  - Total count
  - Dollar value

Each denomination row displays a currency image for easy visual identification.

## Current Safe Alerts

The Safe Alerts page shows you at a glance which denominations need attention and how much cash you need to order.

### Quick Summary Banner

At the top you will see a summary showing the **Total Value Needed** to bring all denominations back to target levels.

Below the banner, denominations are grouped into two priority sections:

- **Critical (Red):** Denominations that have dropped below the critical threshold -- these need immediate attention
- **Low (Yellow):** Denominations below the low threshold but above critical -- plan to restock soon

Each item shows the number of rolls (coins) or bundles (bills) needed to reach the target level.

### Denomination Detail Cards

Below the summary, individual cards appear for every denomination that is in a low or critical state. Each card shows:

| Section | Details |
|---------|---------|
| **Current Status** | Rolls/bundles on hand, total quantity, current dollar value |
| **Needed to Reach Target** | Rolls/bundles needed, quantity needed, dollar value needed |

Cards are color-coded: red border for critical, yellow border for low.

### Total Safe Balance

At the bottom of the page, you will find the **Total Safe Balance** showing:
- The total dollar value currently in the safe
- Who last balanced the safe and when

> **Tip:** The safe alerts are also included in the nightly email report sent to store managers. Configure thresholds in Safe Configuration to control when alerts trigger.

## Safe Configuration

The Safe Configuration page lets you define the inventory levels and alert thresholds for every denomination in your safe.

### How Alerts Work

Each denomination has three threshold levels:

| Level | Color | Effect |
|-------|-------|--------|
| **Wanted** | Green | Your ideal target inventory. Used to calculate how many rolls/bundles to order. |
| **Low** | Yellow | When inventory drops below this level, a warning appears in the nightly email report. |
| **Critical** | Red | When inventory drops below this level, an immediate alert email is sent. |

### Configuring Coin Denominations

The **Coin Settings** section (blue header) includes rows for:
- Pennies
- Nickels
- Dimes
- Quarters

For each coin denomination, set:
1. **Wanted (Rolls)** -- Your ideal number of rolls on hand
2. **Low (Rolls)** -- Warning threshold in rolls
3. **Critical (Rolls)** -- Critical alert threshold in rolls
4. **Per Roll** -- How many coins come in one roll from your bank

### Configuring Bill Denominations

The **Bill Settings** section (green header) includes rows for:
- $1, $5, $10, $20, $50, $100

For each bill denomination, set:
1. **Wanted (Bundles)** -- Your ideal number of bundles on hand
2. **Low (Bundles)** -- Warning threshold in bundles
3. **Critical (Bundles)** -- Critical alert threshold in bundles
4. **Per Bundle** -- How many bills come in one bundle from your bank

### DRS Paid Out Password

Below the bill settings, enter the **DRS Paid Out Password** used to authorize paid-out transactions at the register. This enables automated processing by the BuyerKiosk system.

### Total Value Calculator

As you adjust the "Wanted" fields and "Per Roll/Bundle" counts, the **Total Value if at Wanted Levels** updates in real time at the bottom of the form. This helps you understand the total dollar investment needed to fully stock your safe.

### Saving Your Configuration

1. Review all denomination settings
2. Verify the total value calculation looks correct
3. Click `Save Configuration`
4. A success message confirms the save

Click `Reset` to revert all fields to their last saved values.

> **Tip:** Enter the number of rolls or bundles, not the total count of individual coins or bills. For example, if your bank supplies penny rolls of 50, enter "50" in the Per Roll field.

## Troubleshooting

### Safe alerts show "Critical" but my safe has plenty of cash
- Check that the **Per Roll** or **Per Bundle** values match what your bank actually provides. If these are wrong, the calculated quantities will be inaccurate.
- Verify the latest safe balance count was completed recently. The alerts use the most recent safe count from your POS system.

### Transactions are missing from the Cash Activity Report
- Expand the date range using `Pick Date` to ensure the transaction falls within the selected period.
- Check that the register activity was properly transmitted from your POS system. Contact support if transactions are consistently missing.

### Configuration changes are not reflected in alerts
- Safe alerts recalculate based on the latest safe balance. If the last balance was taken before your configuration change, the alerts will reflect old data. Run a new safe count at the register to update.
