# Connect and Configure QuickBooks Online

The QuickBooks Online integration sends BuyerKiosk daily close data to QuickBooks as journal entries. This article covers the one-time connection setup and the basic settings that control how entries are created.

## Before You Start

Make sure the store has:

- A QuickBooks Online company file.
- A BuyerKiosk admin user with access to the QuickBooks pages.
- A chart of accounts ready for deposits, sales, returns, inventory, COGS, liabilities, and cash over/short.
- A completed daily close process in BuyerKiosk.

The integration does not replace the store's accountant. It moves the daily totals into QuickBooks consistently, but the store still needs to choose the correct accounts.

## Open the Integration

1. Log in to the BuyerKiosk admin.
2. Select the store.
3. Go to `QuickBooks` from the admin navigation.

If the store is not connected yet, the page shows a disconnected state.

## Connect to QuickBooks

1. Click `Connect to QuickBooks`.
2. Sign in to Intuit.
3. Choose the QuickBooks company to connect.
4. Approve the requested accounting access.

After approval, BuyerKiosk stores the connection token and shows the connected company.

## Confirm the Connected Company

After connecting, verify:

- The company name is correct.
- The connection status is active.
- The account list loads successfully.
- The store is not connected to the wrong QuickBooks company.

If the wrong company was selected, disconnect and reconnect before syncing any data.

## Configure Sync Settings

Open the settings page to choose how strict the integration should be.

Important settings include:

| Setting | What It Controls |
| --- | --- |
| Sync mode | Whether entries are staged for review or posted automatically. |
| Approval thresholds | Which entries require review before posting. |
| Memo template | The text placed on QuickBooks journal entries. |

For most new customers, start with an approval-based workflow. That lets the owner review entries before QuickBooks is changed.

## Next Step

After the connection works, configure account mappings. The connection only gives BuyerKiosk permission to talk to QuickBooks; mappings tell BuyerKiosk where each daily close number belongs in the chart of accounts.
