Scheduling Settings is where you configure how your store's scheduling system works — from choosing your scheduling provider and clock-in rules to overtime calculations, payroll settings, policies, and position management.

## Getting There

Navigate to **Scheduling** > **Scheduling Settings** from the admin sidebar, or click the gear icon on the Schedule Calendar page.

## Settings Sections

The settings page is organized into six sections, accessible via the side navigation:

| Section | Purpose |
|---------|---------|
| **Provider** | Choose your scheduling system |
| **Clock Rules** | Configure time clock behavior |
| **Overtime** | Set overtime calculation rules |
| **Payroll** | Work week and rounding settings |
| **Policies** | Open shift and reassignment rules |
| **Positions** | Manage employee positions/roles |

## Scheduling Provider

Choose which scheduling system powers your store:

| Provider | Description |
|----------|-------------|
| **None (Scheduling Disabled)** | Turns off all scheduling features |
| **BuyerKiosk Native** | Built-in scheduling with full feature set (recommended) |
| **When I Work** | Integration with WhenIWork third-party scheduling |
| **Homebase** | Integration with Homebase third-party scheduling |

> **Tip:** BuyerKiosk Native gives you access to all scheduling features including AI generation, templates, overlays, and the mobile app. Third-party integrations import schedule data but may not support all features.

## Time Clock Rules

Control how employees clock in and out:

### Grace Periods

| Setting | Default | Description |
|---------|---------|-------------|
| **Clock In Early** | 15 min | How early employees can clock in before their shift |
| **Clock In Late** | 15 min | Grace period for late arrivals before flagging |
| **Clock Out Late** | 30 min | How long after shift end before auto-clock-out |

### Manager Override Requirements

| Checkbox | What It Controls |
|----------|-----------------|
| **Require manager override for clock actions outside window** | When checked, employees clocking in too early, too late, or past their shift need a manager to approve |
| **Require manager override for unscheduled clock-in** | When checked, employees without a scheduled shift need manager approval to clock in |

> **Tip:** Enable both override checkboxes for tighter time tracking control. Disable them for a more flexible clock-in experience.

## Overtime Rules

Configure how overtime is calculated based on your jurisdiction:

### Jurisdiction Selection

1. Select your **Country** (United States or Canada)
2. Select your **State/Province** to load the standard overtime rules for your area

### Rule Type

| Option | Description |
|--------|-------------|
| **Standard rules for jurisdiction** | Uses the legal overtime requirements for your selected state (e.g., "Weekly OT after 40 hours" for Federal FLSA) |
| **Custom overtime rules** | Define your own thresholds for weekly overtime, daily overtime, and double-time |

> **Tip:** California, for example, has daily overtime rules (over 8 hours/day) in addition to weekly rules. Selecting the correct state ensures compliance.

## Payroll Settings

Configure how time is tracked for payroll:

### Work Week

| Setting | Options | Description |
|---------|---------|-------------|
| **Start Day** | Sunday–Saturday | Which day begins your work week (affects overtime calculations) |
| **Start Time** | Any time | What time the work week begins on the start day |

### Rounding

| Setting | Options |
|---------|---------|
| **Payroll Rounding** | No Rounding, Nearest Increment, Round Up, Round Down |
| **Rounding Increment** | 1 min, 5 min, 6 min (1/10 hour), 15 min (1/4 hour), 30 min (1/2 hour) |

> **Tip:** Most stores use "Nearest Increment" with "15 minutes (1/4 hour)" rounding. This matches standard payroll practices and rounds fairly in both directions.

## Policies

### Open Shift Claiming

Control how employees can claim unassigned open shifts:

| Policy | Description |
|--------|-------------|
| **Require Manager Approval** | All open shift claims need manager approval before assignment (most control) |
| **Auto-Approve Qualified** | Automatically approves claims from employees with matching position skills |
| **First Come, First Served** | First employee to claim is automatically assigned — no approval needed (fastest) |

### Shift Reassignment

| Setting | Description |
|---------|-------------|
| **Allow Direct Reassignment** | When enabled, managers can directly reassign shifts without employee consent. When disabled, changes go through the swap request workflow. |

> **Tip:** "Require Manager Approval" for open shifts gives you the most control, but can slow down shift filling. Consider "Auto-Approve Qualified" for stores with reliable employees and well-defined positions.

## Positions

Manage the positions/roles available in your store's scheduling system:

### Default Positions

| Position | Description |
|----------|-------------|
| Owner | Store owner |
| General Manager | Full store management |
| Store Manager | Day-to-day management |
| Shift Lead | Team leadership during shifts |
| Buyer | Processes buy transactions |
| Sales Associate | Floor sales and customer service |

### Managing Positions

- **Add Position**: Click `+ Add Position` to create a new role with a name and color
- **Edit**: Click the edit button to change a position's name or color
- **Deactivate**: Positions can be deactivated (but not deleted if employees are assigned)

> **Tip:** Position colors are used on the Schedule Calendar when "Color by Role" is selected. Choose distinct colors so shifts are easy to identify at a glance.

## Saving Changes

After making changes to any section:

1. Click `Save Settings` at the bottom of the page
2. Or click `Reset Changes` to revert to the last saved state

> **Warning:** Changing overtime rules or payroll settings affects how hours are calculated going forward. Review existing timesheets after making changes.
