# Team+ Scheduling — How-To Video Script

**Estimated runtime**: 12–15 minutes
**Audience**: Current BuyerKiosk store managers/owners
**Version**: 2.0 (Revised)

---

## COLD OPEN (0:00 – 0:20)

*[Screen: Calendar view with shifts populated, team photos visible]*

"Hey there — welcome to BuyerKiosk. In this video, we're going to walk you through our Team+ Scheduling module. Team+ brings scheduling into the same place you already manage your store — your employees, positions, and workflows are already here. No extra per-employee fees, no juggling separate apps, and AI scheduling that uses your actual sales and traffic data to build smarter schedules. Here's everything you need to get started."

---

## CHAPTER 1 — Activating Team+ & First-Time Setup (0:45 – 2:45)

*[Screen: Admin → Store Settings → Scheduling section]*

"Since you're already on BuyerKiosk, most of the heavy lifting is done. Your employees and positions are already in the system. Activating Team+ just unlocks the scheduling tools on top of what you've already built."

"Once it's active, head to your Store Settings and scroll to the Scheduling section. There are a few things to confirm:"

1. **Store hours** — "Verify your typical open and close times. This tells the calendar what your operating window looks like, and it's what the AI uses when generating schedules."
2. **Timezone** — "This should already match your store. All shifts display in your local time, so just double-check it's correct."
3. **Positions** — "Your existing positions — Buyer, Cashier, Manager — carry right over. If you need to add scheduling-specific roles, you can do that here. Each position gets a color on the calendar so you can see coverage at a glance."

*[Screen: Employee list with position assignments]*

"Your team members are already in the system. Just make sure each person has their positions assigned — that way when you're building shifts, you know who's qualified for what."

"If you're migrating from WhenIWork or Homebase, we can help bring over your existing schedule data — reach out to support and we'll handle the transition."

---

## CHAPTER 2 — The Schedule Calendar (2:45 – 5:45)

*[Screen: Schedule calendar, Week view — Syncfusion timeline with employees on Y-axis]*

"This is your scheduling calendar. You've got four views to choose from — Day, Week, Two-Week, and Month. Most managers work in Week view, so that's where we'll start."

"Your team is listed down the left side, and shifts fill in across the timeline. Each position shows in its own color, so you can immediately see if you're heavy on cashiers but light on buyers."

*[Demo: Click on a time slot to create a shift]*

"To create a shift, click anywhere on the timeline. Pick the employee — or leave it blank to create an Open Shift we'll talk about in a minute. Choose the position, set the start and end time, and add any notes. Maybe 'open registers' or 'process online orders first.' Hit save and it's on the board."

*[Demo: Drag a shift to move it]*

"Drag and drop works exactly how you'd expect. Move a shift to a different time, drag it to a different employee, or resize it to adjust the hours."

*[Demo: Copy Previous Week]*

"Here's where it gets fast. If last week's schedule works, hit **Copy Previous Week**. The system previews everything first — flagging any conflicts with time-off requests or availability before anything changes. Approve it and you've got a full week built in seconds."

"**Copy Day** works the same way — duplicate one day's coverage to another day."

*[Screen: Show an open shift — no employee assigned]*

"**Open Shifts** are powerful. When you know you need coverage but haven't decided who, create a shift without an employee. Your team can see these in their mobile app and claim them. You approve who gets it — nothing changes without your sign-off."

---

## CHAPTER 3 — Templates: Build Once, Use Forever (5:45 – 6:45)

*[Screen: Templates dropdown in calendar toolbar]*

"If your schedule follows a pattern — and most stores have a rhythm — save it as a template. Got a standard weekday layout? Save it. Holiday staffing plan? Save it. Summer hours? You get the idea."

"Click **Save Current Week as Template**, give it a name, and it's yours to reuse. When you apply a template, you get a preview first — the system checks for conflicts with your team's current availability and time-off before applying anything."

"Between Copy Week, Copy Day, and Templates, most managers tell us they spend less than five minutes building a full week after the first few weeks."

---

## CHAPTER 4 — Publishing to Your Team (6:45 – 7:30)

*[Screen: Publish button]*

"Nothing is visible to your team until you publish. When the week looks right, hit **Publish**."

"Every team member gets a push notification on their phone — 'New schedule available.' They open the BuyerKiosk Team app and their shifts are right there. No group text. No phone calls. No 'I didn't know I was working.'"

"If you make changes after publishing — swap a shift, adjust a time — just republish. Your team gets updated automatically."

---

## CHAPTER 5 — What Your Team Sees (7:30 – 9:30)

*[Screen: BuyerKiosk Team mobile app — My Schedule view]*

"Let's flip to your team's perspective. When they open the BuyerKiosk Team app, the first thing they see is **My Schedule** — their upcoming shifts with the date, time, position, and any notes you added."

*[Screen: Clock In button]*

"When their shift starts, they tap **Clock In**. One tap. When they're done, **Clock Out**. If your store uses GPS verification, they need to be at the store location to punch in — no clocking in from the parking lot across the street."

"You see these punches in real time on your end, and they feed directly into your timesheets — no manual entry, no separate time-tracking app."

*[Screen: Time-Off Request flow]*

"Need a day off? They tap **Request Time Off**, pick the dates, choose a type — vacation, sick, personal — add a note if they want, and submit. It lands in your approval queue instantly."

*[Screen: Shift Swap flow]*

"Shift swaps are handled the same way. One team member proposes a swap, picks who they want to trade with. The other person accepts or declines. Once both sides agree, it comes to you for final approval. Everyone stays in the loop, nothing moves without your okay."

*[Screen: Availability settings]*

"They can also set their **recurring availability** — 'I'm available Monday through Thursday, 8 to 5, but never on Fridays.' Plus one-off exceptions for specific dates. This feeds directly into your calendar, so when you're building shifts, you can see who's actually available."

---

## CHAPTER 6 — Your Approval Queue (9:30 – 10:30)

*[Screen: Approval Queue page]*

"Everything your team requests lands in one place — your **Approval Queue**. Time-off requests, shift swap approvals, open shift claims — all in a single view."

"For each request, you see who's asking, what they need, and the dates involved. One click to approve, one click to deny. Add a note if you want to explain your decision."

"You can also batch approve — if five people requested the same holiday off and you're good with it, approve all of them at once."

"No more sticky notes. No more 'I thought I told you.' Everything is tracked, timestamped, and visible to both sides."

---

## CHAPTER 7 — Timesheets & Labor Costs (10:30 – 11:15)

*[Screen: Timesheets page with weekly hours and overtime]*

"Because clock-ins flow directly from the schedule, your timesheets build themselves. You can see each employee's hours, overtime calculations, and labor costs — all in real time."

"When it's time for payroll, export your timesheets and you're done. No re-entering data from a separate system."

"This is one of the biggest wins of having scheduling inside BuyerKiosk — your labor data lives next to your sales data. You can actually see what it costs to staff your store and whether you're spending in the right places."

---

## CHAPTER 8 — AI Schedule Generation (11:15 – 12:45) *(Premium Feature)*

*[Screen: "Generate with AI" button on calendar toolbar]*

"This is the feature that makes native scheduling worth it. Instead of building from scratch, let AI do the heavy lifting — and because it's inside BuyerKiosk, it knows things no third-party scheduler ever could."

"Click **Generate with AI**. Choose the week, select which team members to include, and set your priorities — minimize labor cost? Balance hours evenly? Maximize coverage during peak times?"

"You can even type custom instructions: 'Don't schedule Sarah before 10 AM' or 'Always have two buyers on Saturday.'"

*[Screen: AI processing with real-time progress → results appear on calendar]*

"Here's what sets this apart: the AI pulls from your store's actual sales patterns, historical wait times, and staffing levels — data that already lives in BuyerKiosk. A third-party app would just guess. This one knows your business."

"When it's done, you get a complete suggested schedule with labor cost estimates. Review it, tweak anything you want, and accept. Your calendar updates instantly."

"Don't like the suggestion? Reject it and try again with different priorities. You're always in control."

---

## CHAPTER 9 — Wrap-Up (12:45 – 13:15)

*[Screen: Full calendar with shifts, overlaid with quick cuts of mobile app, approval queue, timesheets]*

"Let's bring it together. You activated Team+ on top of the BuyerKiosk you already run. Your employees, your positions, your store settings — they were already there. You built a schedule — manually, from a template, or with AI. You published it and your team saw it instantly on their phones. They clock in, request time off, swap shifts — all from one app. And you manage approvals, track labor costs, and export timesheets from one place."

"One platform. One login. No more paying for separate tools that don't talk to each other."

"That's Team+ Scheduling. Less time managing the schedule, more time running your store."

## Production Notes

### Recording Guidelines
- **Pacing**: Pause 1–2 seconds at each screen transition so viewers can orient themselves. These are managers — they want to see where things are, not just hear about them.
- **Screen recordings**: Record at 1920x1080. Zoom into the active UI area for each step. Use a clean demo store with realistic employee names and shift data.
- **Voiceover tone**: Confident and direct — like a peer showing them the ropes, not a sales pitch. These are existing clients, so skip the hype and focus on "here's how this saves you time."
- **Music**: Light, professional background track. Drop volume during voiceover, bring it up during transitions. Nothing too upbeat — this is a tool walkthrough, not a product launch.

### Post-Production
- **Chapter markers**: Add YouTube chapter timestamps for each section. Managers will come back to reference specific sections.
- **B-roll opportunities**: Quick cuts of the mobile app, a manager approving requests on a tablet, the AI generation progress animation.
- **Competitive callouts**: The cold open and AI chapter naturally highlight the native advantage. Don't oversell it — let the integration speak for itself.
